At Plenser Industrial Spares, we stand behind the quality of our products. We understand that sometimes a purchase may not meet your expectations or requirements. This Return and Refund Policy outlines the terms and conditions under which returns, refunds, and exchanges are processed.

Return Eligibility

Eligible for Return:

  • Products purchased within the last 30 days
  • Items in original, unused condition
  • Products in original packaging with all accessories and documentation
  • Defective or damaged products upon delivery
  • Wrong items shipped due to our error
  • Products not matching the description on our website

Not Eligible for Return:

  • Products purchased more than 30 days ago
  • Used, installed, or modified products
  • Items without original packaging or missing components
  • Custom-ordered or special-order items
  • Products showing signs of wear, damage, or misuse
  • Electrical components that have been connected or energized
  • Consumable items (oils, lubricants, filters once opened)

How to Return a Product

Contact Us

Reach out to our customer service team within 30 days of receiving your order:

Provide your order number, product details, and reason for return.

Get Authorization

Our team will review your request and provide a Return Authorization (RA) number if approved. Please do not return items without an RA number.

Package the Item

Pack the product securely in its original packaging. Include:

  • All original accessories and components
  • User manuals and documentation
  • Proof of purchase (receipt or invoice)
  • RA number clearly marked on the package

Ship or Drop Off

You have two options:

  • Drop Off: Bring the item to our location at Avon Centre Gate B, Enterprise Road, Nairobi
  • Ship: Send the item via a traceable shipping method (customer pays shipping unless item is defective or wrong)

Inspection & Processing

Once we receive the return, we will inspect the product within 3-5 business days. You will be notified of the approval or rejection of your return via email.

Refund or Exchange

If approved, your refund will be processed, or an exchange will be shipped within 5-7 business days.

Refund Policy

Refund Methods:

Refunds will be issued using the original payment method:

  • M-Pesa: Refund sent to the original M-Pesa number within 3-5 business days
  • Bank Transfer: Refund sent to provided bank account within 5-7 business days
  • Cash: For in-store purchases, cash refund available immediately upon approval

Refund Amount:

  • Full refund of product cost for defective or incorrect items
  • Original shipping costs refunded only if item is defective or we shipped the wrong item
  • Return shipping costs are the customer's responsibility unless the item is defective

Partial Returns

If you received multiple items and wish to return only some of them, partial refunds will be processed for the returned items only.

Exchange Policy

We accept exchanges for:

  • Different size or specification of the same product
  • Different product of equal or greater value
  • Replacement for defective items

Exchange Process: Follow the same return process outlined above, but indicate in your request that you prefer an exchange. The replacement item will be shipped once the original item is received and inspected.

Price Differences

If exchanging for a more expensive item, you will be required to pay the difference. If exchanging for a less expensive item, the difference will be refunded.

Warranty Coverage

All products sold by Plenser Industrial Spares come with manufacturer warranty unless otherwise stated. Warranty terms vary by manufacturer and product type.

Standard Warranty Coverage:

  • Manufacturing defects in materials and workmanship
  • Premature failure under normal operating conditions
  • Parts replacement for defective components

Not Covered by Warranty:

  • Damage due to improper installation
  • Normal wear and tear
  • Damage from misuse, abuse, or neglect
  • Unauthorized modifications or repairs
  • Damage from improper storage or environmental factors

Warranty Claims

To file a warranty claim, contact us with your proof of purchase and a description of the issue. We will coordinate with the manufacturer on your behalf.

Damaged or Defective Items

If you receive a damaged or defective product:

  1. Inspect Upon Delivery: Check your order immediately upon receipt
  2. Document the Damage: Take clear photos of the damaged item and packaging
  3. Contact Us Immediately: Report the issue within 48 hours of delivery
  4. Do Not Use: Do not install or use damaged or defective products

For damaged or defective items, we will:

  • Provide a free replacement at no additional cost
  • Cover all shipping costs for the return and replacement
  • Expedite the replacement shipment
  • Offer a full refund if replacement is not available

Special Circumstances

Bulk Orders:

For bulk orders (10+ units), special return terms may apply. Please discuss return policies with our sales team before placing large orders.

Custom Orders:

Custom-ordered or specially manufactured items are non-returnable unless defective. This will be clearly communicated at the time of order.

Clearance Items:

Items marked as "clearance" or "final sale" may have different return policies. Check the product listing for specific terms.
